5. Third-Party Tools and Data Processors

Dugan AI uses a limited set of third-party platforms to operate the Site and deliver advisory services. These platforms process data on our behalf under their own privacy terms. We have listed the relevant ones below.

5.1 HubSpot

We use HubSpot CRM and Marketing tools to manage contact records, chat flow interactions, and email sequences. HubSpot may place cookies on your device when you interact with the chat flow or submit a form. HubSpot’s privacy policy is available at hubspot.com/legal/privacy-policy.

5.2 Calendly

Appointment booking is handled through Calendly. When you book a session, your name, email address, and scheduling preferences are transmitted to Calendly and synced to HubSpot. Calendly’s privacy policy is available at calendly.com/legal/privacy-notice.

5.3 Stripe

Payment processing is handled exclusively by Stripe. We do not store your payment card information on our systems or in HubSpot. Stripe’s privacy policy is available at stripe.com/privacy.

5.4 Google Workspace

We use Google Workspace (Gmail, Google Calendar, Google Drive) to conduct client communications and store engagement materials. Data shared with us via email or document collaboration is subject to Google’s privacy practices, available at policies.google.com/privacy.

5.5 Meta Pixel (Meta Platforms, Inc.)

We use the Meta Pixel, a tracking tool provided by Meta Platforms, Inc., to measure the effectiveness of our advertising on Facebook and Instagram. The Meta Pixel is a small piece of JavaScript code that, when loaded, can collect information about your visit to this Site, including pages viewed and actions taken.

The Meta Pixel only loads after you explicitly accept cookies via the consent banner on this Site. If you decline cookies, the Meta Pixel is never loaded and no data is transmitted to Meta. If you accept, Meta may use the collected data to show you relevant ads on its platforms and to build audiences for advertising purposes, subject to Meta’s own privacy policy.

You can review Meta’s data practices and manage your ad preferences at facebook.com/privacy/policy. You may also opt out of interest-based advertising from Meta at any time through your Facebook or Instagram account settings, or through the Digital Advertising Alliance opt-out tool at optout.aboutads.info.

5.6 Granola

We use Granola to record and transcribe advisory sessions when both parties have consented to recording. Session recordings and transcripts are stored securely and used solely to improve service delivery and prepare session recap documents for clients.

6. Cookies and consent

Our Site and the third-party tools embedded in it use cookies and similar tracking technologies for two distinct purposes.

Functional cookies (primarily HubSpot) are used to recognize returning visitors, measure site performance, and support the chat flow. These load as part of normal Site operation.

Advertising cookies (Meta Pixel) are used to measure the performance of our Facebook and Instagram advertising. These load only after you click Accept on the cookie consent banner displayed at the bottom of this Site. If you click Decline, no advertising cookies are set and the Meta Pixel is never loaded. Your choice is saved in your browser and the banner will not appear again on return visits.

You may change your preference at any time by clearing your browser’s local storage for dugan-ai.com, which will cause the consent banner to reappear on your next visit.

You may also disable cookies entirely through your browser settings. Disabling cookies will not prevent you from using the Site, but some features—including the HubSpot chat flow—may not function as intended.

7. Data Retention

We retain contact records in HubSpot for as long as an active or prospective client relationship exists, or as reasonably necessary to respond to inquiries. We do not retain data beyond three years following the conclusion of any client engagement or last contact, unless retention is required by law.

You may request deletion of your contact record at any time by emailing chris@dugan-ai.com. We will confirm the deletion within 30 days.

8. Data Security

Consistent with Pennsylvania’s Breach of Personal Information Notification Act (BIPNA), as amended in 2024, Dugan AI LLC implements and maintains reasonable security measures to protect the personal information we store. These measures include:

  • Use of industry-standard platforms (HubSpot, Google Workspace, Stripe) with enterprise-grade security
  • Two-factor authentication on all administrative accounts
  • Access to client data limited to Christopher Dugan (sole member, Dugan AI LLC)
  • No storage of payment card data or Social Security numbers on our systems

In the event of a data breach affecting more than 500 Pennsylvania residents, we will notify both affected individuals and the Pennsylvania Attorney General without unreasonable delay, consistent with BIPNA requirements.

9. Your Rights

Although Pennsylvania has not yet enacted a comprehensive consumer data privacy law, Dugan AI LLC respects the following rights as a matter of operating practice:

  • Access: You may request a summary of the personal information we hold about you.
  • Correction: You may request that we correct inaccurate information in your contact record.
  • Deletion: You may request that we delete your contact record and associated data.
  • Opt-out of email: You may unsubscribe from commercial emails at any time.

To exercise any of these rights, contact us at chris@dugan-ai.com. We will respond within 30 days.

10. Links to Third-Party Sites

The Site may contain links to external websites—including blog references, tool recommendations, or partner resources. Dugan AI LLC is not responsible for the privacy practices of any site we do not operate. We encourage you to review the privacy policy of any external site before providing personal information.

11. Children’s Privacy

The Site is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected such information, we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our data practices, applicable law, or the tools we use. Material changes will be posted on this page with an updated effective date. We recommend checking this page periodically if you have an ongoing relationship with Dugan AI.
